Why do we process your data (purpose of the processing) and what is the legal basis?

We process personal data in accordance with the provisions of the EU General Data Protection Regulation (GDPR) and the German Data Protection Act (BDSG). The processing is done for the exclusive purpose of managing the recruitment process.

We process personal data to fulfil contractual obligations pursuant to Art. 6(1) (b) GDPR. In particular this includes:

Managing the recruitment process

Assessing and confirming a candidate’s suitability

Contacting possible candidates for interviews

Deciding on and contacting the candidate(s) for job offer(s)


We also process your data for the purposes of our legitimate interests pursuant to Art. 6(1) (f) GDPR

to safeguard our website and it’s IT security and operations

for statistical purposes (e.g. reporting), conclusions about individual persons are not possible.


If we process data on the basis of a balancing of interests, as the data subject, you have the right to object to the processing of your personal data in accordance with Art. 21 GDPR.
We further process your data based on your consent pursuant to Art. 6(1) (a) GDPR for specific purposes, especially:

Any consent given can be withdrawn at any time. This is with effect for the future only and does not affect the lawfulness of data processed up until the withdrawal.


We also process your data for fulfilment of legal obligations pursuant to Art 6(1) (c) GDPR. In this regard, we process personal data to ensure adequate security of the data. This includes protection against unauthorized or unlawful processing and against accidental loss, destruction or damage to data pursuant to Art. 5 and 32 GDPR.

Is there an obligation to provide data?

For legally stipulated or contractual requirements, we have marked on our website forms the input fields that you are required to fill in so that you can be able to make your job application.

What information is processed in the job application portal?

During the application period, we will process the following data:

Name (first name, surname)

Contact details (Postal address, email address, phone number)

Application documents (letter of motivation, curriculum vitae, vocational, training and work certificates)

The data will be processed internally as part of your application. It will only be accessible to the Human Resources personnel and other relevant persons responsible for the selection of suitable candidates.

What data is processed when you visit our website?

When you visit our website, personal data is processed in order to be able to display the contents of the website on your device. In order to be able to display the pages in your browser, the IP address and more information regarding the browser of the device you are using, among other things must be processed.
With regard to data protection, we are committed to ensuring the confidentiality and integrity of your data processed using our IT systems.
For this purpose and based on our legitimate interests in providing a secure and functional website, the following data is processes:

  • IP address of the calling computer (for a maximum of 7 days)

  • Operating system of the calling computer

  • Browser version of the calling computer

  • Name of the retrieved file

  • Date and time of the retrieval

  • Transferred amount of data

  • Referring URL
The data is only stored for as long as needed for the above purpose and for detection and correction of errors on the website. A personal reference from the data cannot be created.
Your data will not be shared with third party ad networks.

Do third parties see and/or have access to your data?

Your personal data will generally only be forwarded to third parties if this is required for the implementation of the contract with you.
The forwarding of data is also permitted on the basis of a balancing of interests according to Art. 6(1) (f) GDPR, when we are legally obliged to forward the data, or with your consent.
Your data will be stored and processed on the systems of our software partner Haufe –umantis AG. We carefully select our service providers – especially with regard to data protection and data security- and take all necessary data protection measures to ensure compliance with the legal regulations.

How long do we store your data?

If you start a job at FRS, your personal data, or at least an excerpt thereof, will be added to your personal file.
If you receive a negative response to your application, your data (profile and application) will be saved for 6 months after the negative response and then anonymized. There will be no further notification on the anonymization of the data.
If we cannot offer you a suitable position at the time, and you have given your consent, we reserve the right to assign your application to a talent pool. If you are no longer interested, you have the possibility to delete your data (profile and application) at any time. If your data is assigned to the talent pool, the data will be stored for 24 months and then anonymized.
Possible longer storage periods due to mandatory legal provisions remain unaffected.
You can, at any time, (see contact details above) request access to your personal data which is stored in our company, and if no necessity for processing exists, demand the erasure of the data or a restriction of processing.

Where is your data processed?

We process your personal data only in data processing centres in the European Union.

Your Rights as a data subject

You have a right to receive information and a right to access the personal data concerning you. You have the opportunity at any time to access your electronic data, to change it or delete it, independently. When you contact us to access this right, the requirements for verifying your correct identity are strict and we shall require proof that you are the actual beneficiary.
You also have the right to rectification, erasure (deletion) and / or restriction of processing of your personal data.
Additionally, you have the right to object to our use of your personal data, right to data portability which includes the transfer of your data to another controller and you also have rights in relation to automated decision making and profiling.

Right to lodge a complaint

You have the right to complain about our processing of your personal data to a supervisory authority for data protection.
